Thank you for using NoterAI ("Company", "we", "us", "our"). NoterAI has been developed by the Noter AI Team. We are the data controller for the personal information described in this notice. If you have any questions or concerns about this privacy notice or how we handle your personal information, please contact us at support@noterai.net.
This notice explains what information we collect when you use the Noter AI mobile apps for iPhone, iPad and Android (the "App"), our website at noterai.net (the "Website"), and any related services (together, the "Services"). It explains how we use that information, who we share it with, how long we keep it, and what rights you have. If you do not agree with this notice, please do not use the Services.
This privacy notice applies to all information collected through our Services, as well as any related support, sales, marketing or events.
Please read this privacy notice carefully as it will help you understand what we do with the information that we collect.
We collect the information we need to run the Services. This includes:
In Short: We process your audio to give you transcripts, summaries, translations and chat. We do not sell your audio or notes, we do not use them for advertising, and we do not use them to train AI models.
Noter AI turns your recordings into transcripts and AI summaries. To do this:
Meeting bot. If you are a subscriber, you can send a bot to a Zoom, Microsoft Teams, Google Meet or Webex meeting, or let it join meetings from your connected calendar automatically. The bot is provided by our meeting-bot provider. It joins the meeting as a visible participant named "Noter AI" and records the meeting audio (not video). Everyone in the meeting may be recorded. After the meeting, we copy the audio into your account and ask the meeting-bot provider to delete its copy. The meeting-bot provider is also set to delete the recording automatically within 72 hours.
Calendar connection. If you connect a Google or Outlook calendar, you give our meeting-bot provider read-only access so it can see upcoming meetings and send the bot when you ask. We store your upcoming events in your account so the App can show them. You can disconnect your calendar at any time in the App.
Important: You are solely responsible for making sure you have the legal right and all required consents to record, transcribe and process any conversation, including every meeting you send the bot to. Many places require the consent of every person being recorded. This includes compliance with applicable wiretapping, eavesdropping, and recording consent laws in every place where a participant is located. When we process audio of other people on your behalf, we do so under your instructions.
In Short: We use a small number of service providers to run Noter AI. Each one receives only what it needs to do its job for us.
We use the following types of service providers:
These providers may only use your information to provide their services to us, under their contracts and data processing terms with us. They are not allowed to sell it. A current list of our service providers is available on request by emailing us at support@noterai.net. We are not responsible for how Apple, Google, Zoom, Microsoft, Webex or other platforms you choose to use handle your data under their own policies.
In Short: We use your information to provide the Services, keep them working and safe, handle your subscription, and talk to you. The legal basis for each use is shown below.
If you are in the European Economic Area (EEA), the United Kingdom or Switzerland, data protection law requires us to have a legal basis for each use of your personal information. We rely on: performance of our contract with you (to provide what you asked for), our legitimate interests (which we balance against your rights), your consent (where the law requires it, and you can withdraw it at any time), and legal obligations.
We use the information we collect or receive:
We do not make decisions about you based solely on automated processing that have legal or similarly significant effects on you.
In Short: We share information only with the service providers listed in Section 3, when you ask us to, when the law requires it, or to protect rights and safety.
We may share your information in these situations:
We do not sell your personal information, and we do not share your recordings, transcripts or notes with advertisers.
In Short: Your data is stored with our cloud hosting provider, encrypted in transit and at rest, and protected by access rules so that only your account can open it in the App.
We store your data with our cloud hosting and database provider. Your data is protected by:
Your notes are not end-to-end encrypted, because our servers must process them to create transcripts and summaries. No method of electronic storage or transmission is 100% secure, and we cannot guarantee absolute security. You are responsible for keeping your device and your sign-in details secure.
In Short: Yes. Your information is processed in several countries, including the United States and Saudi Arabia.
Our providers operate around the world. Currently, our main database is hosted on servers in Saudi Arabia, and your audio files and our servers are hosted in the United States. AI processing by our AI model provider runs on its global infrastructure and may take place in any country where it operates. Our speech-to-text, meeting-bot, subscription-management, email delivery, and website hosting and form providers mainly process data in the United States. These locations may change over time.
These countries may not have data protection laws as strong as those where you live. If you are in the EEA, the United Kingdom or Switzerland, we rely on adequacy decisions where they exist, and otherwise on the Standard Contractual Clauses approved by the European Commission (and the UK and Swiss equivalents) or other lawful safeguards in our providers' data processing terms. You can contact us for more information about these safeguards.
In Short: We keep your notes and audio until you delete them or your account. We do not delete them on a timer.
When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize it, or, if this is not possible (for example, because it is stored in backup archives), we will securely store it and isolate it from any further processing until deletion is possible.
In Short: Depending on where you live, you can ask to access, correct, delete or export your data, and to object to or limit how we use it.
Depending on the laws where you live (for example, the GDPR in the EEA, the UK GDPR, and similar laws elsewhere), you may have the right to:
To use these rights, see Section 15. We may need to confirm your identity before acting on a request. We will not treat you differently for using your rights.
If you are a resident in the European Economic Area and you believe we are unlawfully processing your personal information, you also have the right to complain to your local data protection supervisory authority. You can find their contact details here: https://www.edpb.europa.eu/about-edpb/about-edpb/members_en. If you are in the United Kingdom, you can complain to the Information Commissioner's Office (ico.org.uk).
If you are a resident in Switzerland, the contact details for the data protection authorities are available here: https://www.edoeb.admin.ch/edoeb/en/home.html.
In Short: Noter AI is not for children under 13. In the EEA and the UK, users under 16 need a parent's or guardian's consent.
Noter AI is not intended for children. We do not knowingly collect personal information from children under 13 years of age. If you are in the European Economic Area or the United Kingdom and you are under 16 (or a lower age of digital consent set by your country's law), you may only use the Services with the consent of a parent or guardian. If you are a parent or guardian and believe your child has provided us with personal information, please contact us at support@noterai.net.
If we learn that we have collected personal information from a child without the required parental consent, we will delete that information.
Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. The App does not use Apple's advertising identifier (IDFA) and does not track you across other companies' apps and websites. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this privacy notice.
In Short: Yes. If you live in California (or another US state with a similar privacy law), you have specific rights over your personal information.
In the last 12 months we collected these categories of personal information, as described in Section 1: identifiers (such as email address, name and account IDs), audio and electronic information (recordings), commercial information (purchase history), internet or other electronic network activity (app usage and diagnostics), and inferences contained in AI summaries of your own content. We collect this information from you, from your device, and from the services you connect (such as your calendar). We use it for the purposes in Section 4 and disclose it only to the service providers in Section 3.
We do not sell your personal information for money. We do not share your recordings, transcripts or notes for cross-context behavioral advertising. We use our app analytics tool and install attribution to measure our own ad campaigns. If this counts as "sharing" under California law, you can opt out by emailing us, and on Android you can also delete or reset your advertising ID in your device settings. We do not knowingly sell or share the personal information of anyone under 16.
Subject to certain exceptions, California residents have the right to: know what personal information we collect, use and disclose; access it; correct it; delete it; opt out of any sale or sharing; and limit the use of sensitive personal information (we only use it to provide the Services). You will not be discriminated against for using these rights. You can make a request by emailing support@noterai.net. You may also use an authorized agent. We will verify your request by confirming it with the email address on your account.
California Civil Code Section 1798.83, also known as the "Shine The Light" law, permits our users who are California residents to request and obtain from us, once a year and free of charge, information about categories of personal information (if any) we disclosed to third parties for direct marketing purposes and the names and addresses of all third parties with which we shared personal information in the immediately preceding calendar year. We do not disclose personal information to third parties for their own direct marketing. If you are a California resident and would like to make such a request, please submit your request in writing to us using the contact information provided below.
The Services do not let you post content publicly. If you are under 18, live in California, and want content you provided removed, please contact us using the contact information provided below.
In Short: Yes, we will update this notice when our practices change or the law requires it.
We may update this privacy notice from time to time. The updated version will be indicated by an updated "Last updated" date, and it will be effective as soon as it is published. If we make material changes, we will notify you by posting a notice in the App or on the Website, or by contacting you directly. We encourage you to review this privacy notice regularly.
If you have questions or comments about this notice, you may email us at support@noterai.net.
Deleting your account in the App deletes your sign-in account. Depending on your app version, some data, such as chat history, may not be erased automatically. To make sure all of your data is erased, including recordings, transcripts, summaries, chat history and your subscription profile, email us and we will erase everything we hold about you from our active systems. Deleted data then leaves our backups within about 100 days (see Section 8).
Deleting the App or your account does not cancel a paid subscription. Please cancel it in your Apple ID or Google Play settings.
We will respond to your request within 30 days. We may keep some information where the law requires it or allows it, for example purchase records for tax purposes.
In Short: Our Website uses a third-party analytics service and a cookieless analytics tool to count visits. Only the third-party analytics service uses cookies.
Links on the Website to the App Store or Google Play take you to Apple's or Google's own sites, which are governed by their own privacy policies.
